Things would take so much longer and be so much messier.<\/p>\n\n\n\n<p>Start by breaking your overall work into the constituent parts. For example, when we create a video, it requires&#8230;<\/p>\n\n\n\n<p><strong>Script &gt; Storyboard &gt; Animation<\/strong><\/p>\n\n\n\n<p>At each of these stages, create guidelines for:<\/p>\n\n\n<div class=\"lazyblock-blank-purple-Z1un3sW wp-block-lazyblock-blank-purple\"><div class=\"pdc-block blank-purple\" style=\"background:#301151; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1)\">\n  &#8211; Who\u2019s involved?<br>&#8211; How long do they have to work on the project?<br>&#8211; What happens when a project starts? (e.g. is there a kick off call? A creative meeting?)<br>&#8211; What\u2019s required of them in order to get to the next stage?<br>&#8211; What happens when a project\u2019s ready to move forward? (e.g. is there a handover meeting? A debrief?)\n<\/div><\/div>\n\n\n<p>Fixed turnarounds, clear processes and best practices aren\u2019t particularly <em>sexy <\/em>but they can quickly become the lifeblood of your company.&nbsp;<\/p>\n\n\n\n<p>And &#8211; far from being something that inhibits or limits our creativity in any way &#8211; our process is one of our key selling points. It\u2019s something we passionately talk about to our customers, because it simply reduces friction, re-work and wasted time. It makes our lives &#8211; and, more importantly, our customers\u2019 lives &#8211; that much easier.<\/p>\n\n\n\n<figure class=\"wp-block-image\"><img decoding=\"async\" src=\"https:\/\/project.co\/wp-content\/uploads\/2023\/05\/6lwlfQE70wDLopx590TYAN8vz9Lmi4k-U_Us7jNQ2jLT_aNgeCBfz5B8d0VWPe6IjGKXDqpD0D3ttEN9z_5Jpj-E2NrsJD40kL91Q7BoOB6MWH9Vj_odZ3dOd0ij9mMerseUQQZH.png\" alt=\"Wyzowl process\" \/><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">4. <strong>Smash information silos<\/strong><\/h2>\n\n\n\n<p>In any project that involves a number of people, <a href=\"https:\/\/project.co\/break-down-silos\/\">information silos can quickly become a problem<\/a>.<\/p>\n\n\n\n<p>What that means in simple terms is:<\/p>\n\n\n<div class=\"lazyblock-blank-purple-lhOuX wp-block-lazyblock-blank-purple\"><div class=\"pdc-block blank-purple\" style=\"background:#301151; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1)\">\n  &#8211; People doing incorrect work based on having insufficient\/inaccurate info.\u00a0<br>&#8211; People spending time digging around for files they need.\u00a0<br>&#8211; Friction between teams and customers based on miscommunication or crossed wires.\n<\/div><\/div>\n\n\n<p>In a world where everyone seems to have <em>their own system <\/em>for working &#8211; their own way of organising and sharing files, their own private communication systems, their own paper to-do lists &#8211; it\u2019s so easy for things to become &nbsp; disorganised!<\/p>\n\n\n\n<p>One of the keys here is to use a dedicated Project Management system. Tools like <a href=\"https:\/\/project.co\/\">Project.co<\/a> are very much designed as an antidote to the information silos that kill team productivity.<\/p>\n\n\n\n<p>Each project on Project.co brings together the people who are collaborating on a project or piece of work, and gives them a central set of tools to keep that project organised: a unified discussion feed, file sharing, a \u2018Notes\u2019 section for important info, and powerful but simple \u2018Tasks\u2019 that can be allocated to people, assigned dates and statuses.<\/p>\n\n\n\n<p>As well as this, you can also use things like Google Drive &#8211; with a clearly organised file system that\u2019s explained to every new person you hire.&nbsp;<\/p>\n\n\n\n<p>Above all it\u2019s about consistency: get people signed on to <em>one unified way of working <\/em>and you\u2019ll avoid so much hassle down the road!<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">5. <strong>Encourage time blocking<\/strong><\/h2>\n\n\n\n<p>It\u2019s important to preface this point by saying there are a LOT of time management techniques out there &#8211; <a href=\"https:\/\/project.co\/time-blocking\">time blocking<\/a> may or may not be the right thing for you.<\/p>\n\n\n\n<p>But it\u2019s certainly one worth trying.<\/p>\n\n\n\n<p>Time blocking came to our attention in the book <em>Deep Work <\/em>by Cal Newport. The book refers to a variety of ways to \u2018divide up\u2019 your day\/week according to different tasks.&nbsp;<\/p>\n\n\n\n<p>And it estimates that a 40 hour time-blocked work week, produces the same amount of output as a 60+ hour work week without structure.<\/p>\n\n\n\n<p>If you and your team spend a lot of time on \u2018reactive\u2019 stuff like checking your inbox, replying to Slack messages, or unproductive meetings, this is a good thing to look into &#8211; although it takes some thought to make it work across your organisation.<\/p>\n\n\n\n<p>Check out the video below to find out more:&nbsp;<\/p>\n\n\n\n<figure class=\"wp-block-embed is-type-video is-provider-youtube wp-block-embed-youtube wp-embed-aspect-16-9 wp-has-aspect-ratio\"><div class=\"wp-block-embed__wrapper\">\n<iframe title=\"Get MORE Done With Time Blocking \u23f1\" width=\"1080\" height=\"608\" src=\"https:\/\/www.youtube.com\/embed\/_JQoPc4jZTY?feature=oembed\"  allow=\"accelerometer; autoplay; clipboard-write; encrypted-media; gyroscope; picture-in-picture; web-share\" referrerpolicy=\"strict-origin-when-cross-origin\" allowfullscreen><\/iframe>\n<\/div><\/figure>\n\n\n\n<h2 class=\"wp-block-heading\">6. <strong>Allow break periods<\/strong><\/h2>\n\n\n\n<p>It can seem counterintuitive to talk about break periods &#8211; after all, you\u2019re looking for <em>more <\/em>from your team, right?<\/p>\n\n\n\n<p>The thing is, the human brain is a complex thing and comes with finite resources. There\u2019s only <em>so much work we can do <\/em>without shutting off.<\/p>\n\n\n\n<p>If we don\u2019t <em>allow <\/em>time for ourselves to go offline &#8211; our brains simply take matters into their own hands and shut off themselves.<\/p>\n\n\n\n<p>This is why sometimes, despite all our best efforts and motivation, we find ourselves staring into space, scrolling our phone or simply <em>unable <\/em>to push ahead with the work, even though we know it\u2019s important and needs to be done.<\/p>\n\n\n\n<p>Scheduled break periods are important, then, because they help to avoid fatigue, burnout and procrastination.<\/p>\n\n\n\n<p>And they allow us to factor those \u2018down periods\u2019 INTO our day rather than letting them derail us.<\/p>\n\n\n\n<p>One interesting model comes in the shape of the Pomodoro technique: a model whereby you work for 25 minutes, rest for 5. After repeating this 4 times, you then take a longer, 15-30 minute break.<\/p>\n\n\n\n<figure class=\"wp-block-image size-full\"><img decoding=\"async\" width=\"740\" height=\"388\" src=\"https:\/\/project.co\/wp-content\/uploads\/2024\/06\/25minswork-3.png\" alt=\"\" class=\"wp-image-291286\" srcset=\"https:\/\/project.co\/wp-content\/uploads\/2024\/06\/25minswork-3.png 740w, https:\/\/project.co\/wp-content\/uploads\/2024\/06\/25minswork-3-480x252.png 480w\" sizes=\"(min-width: 0px) and (max-width: 480px) 480px, (min-width: 481px) 740px, 100vw\" \/><\/figure>\n\n\n\n<p>How you spend those rest periods is completely up to you, but make sure they are <em>actually <\/em>rest periods &#8211; get up and get away from your desk if possible, and completely switch off from the task at hand.<\/p>\n\n\n<div class=\"lazyblock-our-insight-Z1D927D wp-block-lazyblock-our-insight\"><div style=\"color:#5720b4; font-size:16px; font-weight:bold; padding-left:20px;\">\n  <i class=\"fa-solid fa-lightbulb\" style=\"margin-right:5px\"><\/i>Our Insight\n<\/div>\n<div style=\"background:#5720b4; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1)\">\n  Even if you don\u2019t go with this particular technique, breaks should be encouraged. It comes down to a culture of trust where you need to allow people to work in their own way, and manage them based on the output and quality of their work &#8211; rather than the hours they spend smashing a keyboard.\n<\/div><\/div>\n\n\n<h2 class=\"wp-block-heading\">7. <strong>Don\u2019t micromanage<\/strong><\/h2>\n\n\n\n<p>We\u2019ve already talked about the power of autonomy but this is something that\u2019s going to massively help both morale <em>and <\/em>productivity.<\/p>\n\n\n\n<p>Again, the evidence backs this up&#8230;<\/p>\n\n\n<div class=\"lazyblock-statistic-Z23qKze wp-block-lazyblock-statistic\"><div style=\"color:#301151; font-size:16px; font-weight:bold; padding-left: 20px; margin-bottom:5px;\">\n  <i class=\"fa-solid fa-chart-mixed\" style=\"margin-right:5px\"><\/i>Statistic\n<\/div>\n<div style=\"background:#301151; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1);\">\n  Researchers from the University of Birmingham studied 2 years&#8217; worth of data on 20,000 workers and <strong>found a clear link between worker autonomy and job satisfaction\/wellbeing<\/strong>.\n  <div style=\"margin-top:5px; font-size:14px;\">\n    <strong>Source: <\/strong><a href=\"https:\/\/www.sciencedaily.com\/releases\/2017\/04\/170424215501.htm\" style=\"text-decoration: underline; color:rgba(255,255,255,1);\">Science Daily<\/a>\n  <\/div>\n<\/div><\/div>\n\n\n<p>The data is clear: employees are happier when they\u2019re given time and space to do their best work!<\/p>\n\n\n\n<p>So how do you move forward on this?<\/p>\n\n\n<div class=\"lazyblock-blank-purple-ocfqB wp-block-lazyblock-blank-purple\"><div class=\"pdc-block blank-purple\" style=\"background:#301151; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1)\">\n  &#8211; Start by looking for areas you might be micromanaging &#8211; particularly things you don\u2019t <em>like <\/em>to be involved in as a leader &#8211; and look to phase them out.<br>&#8211; Make sure each project has a \u2018point person\u2019 &#8211; someone who owns it at any given stage. And <em>actually <\/em>empower them to lead it!<br>&#8211; Remember that standing by people\u2019s ability to make decisions &#8211; means you also have to support them if they make the wrong ones.\n<\/div><\/div>\n\n\n<p>It\u2019s important to balance this by being available and approachable, too. But ultimately it comes down to the fundamentals &#8211; hire good people, and trust them!<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">8. <strong>Work environment<\/strong><\/h2>\n\n\n\n<p>There\u2019s a proven link between <em>where <\/em>people work, and how <em>well <\/em>they work: that\u2019s well-established.<\/p>\n\n\n\n<p>Traditional research long ago concluded that temperature, water quality, lighting and noise were all issues that influenced people\u2019s concentration at work.&nbsp;<\/p>\n\n\n\n<p>But <a href=\"https:\/\/www.sciencedirect.com\/science\/article\/pii\/S1877705811029730\">more recent research<\/a> found that many more factors can enhance productivity: including indoor air quality, thermal comfort, layout of individual workspaces, workplace colour schemes, interior plants, dust levels and biological contaminants and indoor carbon dioxide concentration.<\/p>\n\n\n\n<p>That\u2019s a <em>lot <\/em>to think about. And particularly now, in the post-pandemic world, many employers don\u2019t even have any real control or input into any of these things, as many continue to <a href=\"https:\/\/project.co\/managing-remote-teams\/\">work remotely<\/a>.<\/p>\n\n\n\n<p>So perhaps the best advice is to be consultative, rather than top-down.&nbsp;<\/p>\n\n\n\n<p>An open, constructive dialogue with your employees encourages them to raise any issues they have with their working environment.&nbsp;<\/p>\n\n\n\n<p>Educate your team about the impact of these factors on productivity, and support where possible &#8211; logistically <em>and <\/em>financially &#8211; where environments can be improved.&nbsp;<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">9. <strong>Foster team relationships<\/strong><\/h2>\n\n\n\n<p>There\u2019s something a little cringeworthy and old-fashioned about the notion of \u2018team building.\u2019<\/p>\n\n\n\n<p>But there\u2019s a reason why businesses have been encouraging their staff to build rafts, solve puzzles, run races and play games together for the best part of a century!<\/p>\n\n\n\n<p>Are those things the <em>best <\/em>way to do this? Not necessarily!&nbsp;<\/p>\n\n\n\n<p>But positive team relationships can benefit companies in so many ways.&nbsp;<\/p>\n\n\n\n<p>For a start, when people get along, they\u2019re much more likely to assume the best of each other &#8211; making issues like giving and receiving feedback much easier to navigate.<\/p>\n\n\n\n<p>People also tend to cooperate better when they have good relationships &#8211; which improves communication on projects, reduces re-work, saves time and boosts productivity.<\/p>\n\n\n\n<p>Again, <a href=\"https:\/\/project.co\/team-building-activities\/\">social events<\/a> are one obvious way to build these relationships &#8211; but don\u2019t discount things that actually happen as part of your working day.<\/p>\n\n\n<div class=\"lazyblock-our-insight-2w202G wp-block-lazyblock-our-insight\"><div style=\"color:#5720b4; font-size:16px; font-weight:bold; padding-left:20px;\">\n  <i class=\"fa-solid fa-lightbulb\" style=\"margin-right:5px\"><\/i>Our Insight\n<\/div>\n<div style=\"background:#5720b4; border:5px solid rgba(255,255,255,0.4); padding:20px; border-radius:10px; margin-bottom:1.4em; color:rgba(255,255,255,1)\">\n  Team-building doesn&#8217;t need to be \u2018separate\u2019 from your work. Anything that brings people together (ideally who don\u2019t work together often) to discuss and engage can only be a good thing.\n<\/div><\/div>\n\n\n<h2 class=\"wp-block-heading\">10. <strong>Incentives<\/strong><\/h2>\n\n\n\n<p>There\u2019s no getting around the fact that sometimes, when looking to increase productivity for a short period &#8211; for example, racing to meet a deadline &#8211; incentives are an important way to tap into peoples\u2019 motivation and get that short-term boost.<\/p>\n\n\n\n<p>An \u2018incentive\u2019 can be just about anything, so it\u2019s important to give this a lot of thought. After all, the things that motivate people are as unique and diverse as the people themselves!<\/p>\n\n\n\n<p>It\u2019s easy to burn through money and turn people off by getting incentives wrong. Frankly, if you have a highly altruistic team that\u2019s intrinsically motivated, extrinsic rewards won\u2019t budge their output at all.<\/p>\n\n\n\n<p>It\u2019s important then, to make sure you know your team.
